WORKING AND HOURS: Monday to Friday 40 hours per week

Summary and Corporate Profile:

 

Our client, a forward thinking reputable real estate development company with a strong desire to transform and elevate African real estate is looking to add an Administrative Assistant to its team.

 

The ideal candidate MUST be articulate, organized, driven and a team player with an ability to work in a fast-paced environment. They must be dynamic and priority oriented to work across multiple functions within the organization providing administrative support. 

 

Role Description and Responsibilities

  • Answer all telephone and email communication enquiries.

  • Place calls to clients and suppliers to place orders or make request for services.

  • Schedule Staff Meetings and record detailed minutes of same.

  • Ensure the proper filing of all official documentations for easy retrieval.

  • Assist with preparation of all official correspondence.

  • Assist with running copies of documents as well as scanning of same.

  • Plan, organize and schedule appointments between staff and clients and or service providers.

  • Acknowledge receipt of all in-coming letters in the In-coming Mail Register Book by stamping and recording the same accordingly.

  • Submit weekly and month-end reports to the Chief Executive Officer.

  • Perform additional duties and responsibilities as needed.

 

Experience and Education

  • Bachelor's Degree Business Administration.

  • Experience in administrative reporting.

  • Excellent negotiating and interpersonal skills.

  • Ability to organize, plan, and strategize.

  • Good command of the English Language.

  • Computer Literate.

  • Data Development & Entry Experience.

Knowledge and Skills

  • Good time management.

  • Excellent working knowledge of ICT technologies (related software, phone, fax, email, the internet) and computer applications (e.g., MS Office).

  • Previous success in office management.

  • Experience managing budgets and expenses.

  • Experience developing internal processes and filing systems.

  • Trustworthy and able to handle confidential information.

  • Superb organizational skills 

  • Customer service-oriented attitude.

  • Excellent analytical, critical, and creative thinking, oral and written communication skills.

  • The ability to develop and carry out work plans and solve problems independently with a creative and pragmatic approach.

Salary and Benefits

  • GHC 2,000 to GHC 3,000 per month
